Case Study: SWAGAA's Real-Time Dashboard

SWAGAA is a non-governmental organisation in Eswatini working to end gender-based violence, sexual abuse, and human trafficking. The dashboard was built as part of a digital transformation initiative during a Crossroads International volunteer placement.

The challenge

Sensitive data, manual reporting, fragmented visibility.

  • Sensitive case data spread across paper and spreadsheets
  • Manual, after-the-fact donor reporting
  • No real-time visibility into caseloads, revisits, or referrals
  • Need to track prevention activities, KPIs, finances, and reports
  • Need to protect survivor identity at every layer
  • Need to support frontline staff and senior management without giving everyone access to PII
The solution

A two-app platform with a single opaque link.

App 1

Real-Time Metrics Dashboard

Anonymised operations and analytics. KPIs, activities, reports, finances, and frontline case workflows.

App 2

Secure Client Directory

Senior-staff-only identity management. Separate database, separate auth, separate hosting, 2FA enforced.

Implementation

From discovery to daily use — in one month.

  1. Step 1

    Discovery and workflow mapping

Mapped intake, care planning, revisits, referrals, prevention, and reporting flows with SWAGAA staff.

  2. Step 2

    Dashboard and case module build

Stood up the anonymised core: cases, KPIs, dashboard analytics, and role-based access.

  3. Step 3

    Secure Registry linkage

Built the isolated Client Directory and the opaque Registry ID bridge with 2FA.

  4. Step 4

    Prevention and activities module

Added participant tracking, demographics, regional analysis, and activity linkage.

  5. Step 5

    Reports, finance, and KPI layer

Stakeholder reports, budget lines, multi-currency receipts, and KPI target tracking.

  6. Step 6

    Live adoption and staff use

Roll-out to Admins, Case Management Officers, Data Entry, and Viewer roles.

Caseload composition

An active operational cycle — not a stale archive.

The mix of closed, open, and follow-up cases shows a healthy cycle of intake, ongoing care, and closure. SWAGAA is tracking continuing service, not just one-time intakes — and the platform makes that visible to supervisors and managers in real time.

The Crossroads opportunity

A proof of concept for partner-wide capacity building.

Crossroads International can help partner organisations move from spreadsheets and manual reporting to secure digital systems. Deploy as a single-tenant instance per partner, with volunteers and technical advisors configuring it to each sector — especially for NGOs in sensitive-service environments.
